BILLING

How does billing work? What counts as a profile?

Billing is per profile per month. Each provider and each practice location counts as one billable profile. Starter: $89/profile/month (1–5 profiles). Professional: $79/profile/month (6–50 profiles). Enterprise: $69/profile/month (51+). Annual billing is available at a 20% discount.

Can I add or remove providers mid-cycle?

Yes. Adding a provider is prorated automatically — you're only billed for the remainder of the current billing period. Removing a provider takes effect at the start of the next billing cycle. No manual intervention required.

Is there a contract or can I cancel anytime?

No contracts, no annual commitments required. Cancel anytime from your account settings. Your subscription remains active through the end of your current billing period. There are no cancellation fees and no hoops to jump through.

How do I add my providers?

Providers are added using their National Provider Identifier (NPI) number. MedVisIQ looks up their credentials and identity automatically from the NPI Registry, then scans their profiles across all monitored platforms.

Can I import my providers automatically?

Yes. You can import providers by entering NPI numbers individually, uploading a CSV, or pasting your practice website URL and letting MedVisIQ read your team page automatically.

What happens after I run a scan?

Results populate within a few minutes. Each provider receives an IQ score and a prioritized list of findings organized by severity. Practice IQ shows aggregate scores across all providers and locations so you can see where the biggest gaps are across your entire practice.

Is MedVisIQ HIPAA compliant?

MedVisIQ audits publicly available provider profile information — names, addresses, phone numbers, and specialties — none of which is Protected Health Information (PHI). MedVisIQ does not access, store, or transmit patient records or clinical data.

Where does MedVisIQ get its data?

For provider identity and credentials, MedVisIQ uses the NPPES National Provider Identifier (NPI) Registry and Medicare provider data — both official government sources. For directory profiles, it checks Google Business Profile, Yelp, and other major healthcare directories directly. Your practice website is also used as a source of truth for profile accuracy comparisons.

How accurate is the information MedVisIQ finds?

MedVisIQ reports what it finds on each platform at the time of the scan. If a directory has outdated or incorrect information, MedVisIQ surfaces that as a finding — that's the point. Scan results reflect real data from each source at the time the scan runs.

SCORES & FINDINGS

What do the IQ scores mean?

Each provider receives scores across four categories: Profile Accuracy (how correct your information is across directories), Claim Status (whether you've claimed your profiles on key platforms), Review Presence (your review volume, recency, and ratings), and Website (how your practice website performs for patients). Scores range from 0–100. The overall score is a composite of all four categories. Excellent = 80+, Good = 65–79, Needs Work = 40–64, Critical = below 40.

Why is my score low even though my profiles look correct to me?

MedVisIQ checks 60+ fields across multiple platforms simultaneously. A score may be low because of issues on platforms you haven't checked recently, profiles you didn't know existed, information that is incomplete rather than obviously wrong, or profiles that haven't been claimed. The detailed findings list shows exactly what's driving the score.

What does "claimed" vs "unclaimed" mean?

Most healthcare directories let providers claim their profile — verifying ownership and giving you the ability to update information, respond to reviews, and control how your listing appears. An unclaimed profile may contain inaccurate information and prevents you from responding to patients. MedVisIQ tracks claimed status across every platform where claiming is possible.

Can MedVisIQ fix my profiles automatically?

No. MedVisIQ gives you a clear path to fix each issue, with step-by-step instructions and direct links to the relevant platform. The actual corrections are made by you or your staff directly on each platform. MedVisIQ does not have write access to any directory.
